Overview

Your iPhone, iPad or other iOS device comes with software that will allow you to check your emails from the device. This guide will show you how to configure your devices to work with your new email accounts.

iOS updates

When apple pushes an update for iOS, it can sometimes break the email account settings. Please see here for more information.

Before you start

First, you will need to know the username and password of the address that you are trying to set up. The username is typically just the email address. If you have not set up an email address yet, you will need to create it first. How to do this depends on what email service you have

cPanel email hosting

You can create an email mailbox for your hosted domain in your cPanel Email Account manager. You can find a guide on creating a new email here. You can also use the email manager to update a forgotten password.

Adding an Account

Here are the steps to adding an account that is not currently on the device.

  1. Open your Settings app
  2. Tap Passwords & Accounts (may be Accounts & Passwords)
  3. In the Accounts section, tap Add Account…
  4. Tap Other
  5. Tap Add Mail Account
  6. Fill in the requested information
    • Name – this will be the name that shows on your sent emails
    • Email – your email address
    • Password – your email password
    • Description – this is a description of the account on the device, it is not server specific and can be whatever you like
  7. Tap Next
  8. You should now see your account settings screen
  9. Choose IMAP (keep messages synced to server) or POP (download and store messages locally). See here for more information on POP vs IMAP.
  10. In the Incoming Mail Server section, fill in the following settings
    • Host Name – mail.domain.com (replace domain.com with your domain)
    • User Name – your email address (you need to include the @domain.com)
    • Password – your email password
  11. Enter the same information in the Outgoing Mail Server section. Note: It may say the username and password are optional, but we recommend entering them in here.
  12. Tap Save

You may see one (or a few) warning popups:

  • Secure Connection Failed - tap Continue
  • Cannot Connect Using SSL- Do you want to try setting up the account without SSL? - Choose Yes.
  • You may not be able to send or receive mail – tap Continue

Congratulations! You’ve just added your email account to your iOS device.

Update an Existing Email Account

If your email is already added to your device, but you are having issues sending or receiving mail, or if you are getting plagued with popups saying Unable to Verify Certificate, you may need to adjust your incoming and outgoing mail settings.

Accessing the email account settings

To get to the email account settings:

  1. Open your Settings app
  2. Tap Passwords & Accounts
  3. In the Accounts section, tap on your email address

Note: If you are having issues with both incoming and outgoing mail, it is better to update the incoming settings first and then work on the outgoing.

Incoming settings

Once you get the email account settings, you should see the Account Information. Take note if the grey section says either “POP” or “IMAPAccount Information. This will affect which port you use.

  1. First, check the POP or IMAP Account Information
    • Name - this will be the name shown on your sent emails
    • Email – this is your email address (this is greyed out and cannot be changed)
    • Description – this is a description of the account on the device, it is not server specific and can be whatever you like
  2. Next, check the Incoming Mail Server section
    • Host Name – mail.domain.com (replace domain.com with your domain name)
    • User Name - your email address
    • Password - your email password (it is best to delete the dots and enter your password again)
  3. Scroll down to the bottom and tap Advanced.
  4. Scroll down to the Incoming Settings section. (You can set the previous settings based on personal preference).
    • Use SSL – this should be on
    • Authentication must be set to Password.
    • IMAP Path Prefix (if using IMAP) - leave this at the default setting
    • Delete from server (if using POP) - this is a personal preference
    • Server Port - 993 for IMAP, 995 for POP
  5. Once you are satisfied that these settings are all correct, return to the main account settings screen by tapping back in the upper left
  6. Click Done in the upper right to verify the changes.

Outgoing settings

Once you have your incoming settings working, you then want to check the outgoing settings

  1. Scroll down to the bottom of the account settings screen and tap SMTP
  2. Tap on the server listed directly below Primary Server
  3. You should now see the outgoing (SMTP) settings
    • Server - this should be on, but leave it for now
    • Host Name - mail.domain.com (replace domain.com with your domain)
    • User Name - your email address
    • Password - your email address password
    • Use SSL - this should be on
    • Authentication - must be set to Password
    • Server Port – 465
  4. Tap Done in the upper right. This will cause the device to verify the outgoing server.

Once verified, you should be able to send mail and be good to go.

Still not working!!!

There are a few tricks to try if the account settings are still not working.

  • Ensure that there are no emails stuck in your outbox and then restart the device. Sometimes mail stuck in the mailbox with stop the settings from updating
  • If the verification process seems to be taking a long time, then it has most likely failed. You may want to close the settings and try again.
  • If you are on a cellular device, sometimes you cannot update and test the settings while talking on the device. You may want to try again once done with your call.
  • The final option is to remove the email address from the device and add it again. While there are no issues doing this with an IMAP account, there is a possibility of losing mail in a POP account that were on the device and not on the server. You will want to make sure that there is not any important mail on the device that are not in your webmail before removing the account. This lost mail would not be recoverable.
